Job Summary: To supervise the collection, entry, and reporting of all student related data in the district’s student information system software of record and oversee/manage the district’s enrollment processes, including intra-district transfers and open enrollments.
Duties and Responsibilities
Assist with the selection of, training and supervision of two direct reports to ensure accuracy of data and adherence to processing expectations.
Assign projects and direct staff to ensure high level of compliance and accuracy in work and customer service to internal/external stakeholders.
Provide timely guidance, feedback and support to direct reports.
Serve as backup for student information systems clerical team as needed.
Serves as the primary Ed-Fi/MARSS (Minnesota Automated Reporting Student System) contact and technical support for inquiries from the Minnesota Department of Education (MDE) and Ed-Fi/MARSS Coordinators from other districts.
Manage the preparation and submission of required State, Federal and District reports related to student information.
Coordinates the collection, recording, and review of all student information district-wide and reporting to the MDE.
Maintains current knowledge of state laws, rules and procedures related to reporting of student information and provides training and support to other district staff on these subjects.
Supports and educates district buildings and department staff regarding correcting student information errors within the student information system.
Provides demographic information as requested by the school board, staff, or members of the public.
Tracks new housing developments and their impact on neighborhood schools by cultivating contacts in the community development departments of each city served by our school district and by information received from the planning commission minutes and agendas or the city websites.
Provides primary staff support to any district boundary realignment committees and coordinates the preparation of information on boundaries for committees, the board and other district staff.
Supervises the collection and entry of school district census information including new births, new families, address changes, and resident students attending non-public schools or other public-school districts.
Generate maps and geospatial representations of student data to district leaders
Lead the coordination of the district enrollment projections committee.
Prepare detailed short-range and long-range enrollment projections by school to be used for budget allocations and planning purposes.
Prepare and submit all required student enrollment reports to MDE and other district staff at applicable times during the school year.
Calculates and submits ADM Estimates for the next three years to be used for state budget purposes.
Serve in leadership capacity for the district’s registration and enrollment processes, including the district’s online registration portal.
Work in conjunction with directors and principals regarding school building capacities and enrollment counts at various points during the year.
Administer all requests for intra-district student transfers, open-enrollment requests and related enrollment options in conjunction with capacity guidelines from directors and principals.
Submits the count of preschoolers to the Minnesota Department of Education for the purpose of Family Education funding.
Submits the Carl Perkins file with course completion data to fund future high school technology courses.
Works with instructional staff to submit data for the Minnesota Common Course Catalog through Ed-Fi.
Partner with the Technology department in the support and training of staff in product utilization and report generation.

Education and/or Experience
Four-year college degree preferred of any combination of applicable experience and education
3-5 years of experience with student information automated systems in a school district or related setting
Understanding of the integration between technology, networks, MIS, and school student information systems.
Experience with Infinite Campus and Ed-Fi preferred
Knowledge, Skills & Abilities
Demonstration of excellent oral and written communication skills to diverse audiences in both informal and formal professional settings with focus on customer service.
Strong project and system management skills, high aptitude for quantitative and numerical analysis
Extensive knowledge and experience in the use and design of spreadsheets and databases, including but not limited to Microsoft Excel, Word, Access, SQL
Familiarity of the principles, practices and terminology used in student information systems recordkeeping and reporting
Up to date knowledge of laws, rules and regulations applicable to school districts and student reporting
Strong skills in organization, creative thought, initiative, systems thinking and problem solving with the ability to manage work assignments from multiple sources.

Compensation: Level 13 - Special Staff $83,845 – 90,891 (2024-25) depending on qualifications Excellent benefits
